As you evaluate each EHR vendor, walk through each section and check off every criterion the platform satisfies. A strong platform should check all 30. Watch for vendors who hedge, say "that's on the roadmap," or can't demonstrate a feature live in a demo.

Does the platform automatically pull in insurance claims status — showing you exactly what each payer owes, when, and why?
You shouldn't have to call insurance companies or log into separate payer portals to know the status of your money.

Can you run real-time insurance eligibility checks before a client's appointment?
Eliminates surprise denials and protects your cash flow. Should happen automatically, not via manual lookups.
Is billing fully integrated — no third-party clearinghouse accounts or separate billing portals required?
Every extra login and portal is a place for things to fall through the cracks.

You shouldn't have to manually re-enter years of client data. If a vendor doesn't offer migration support, the true cost of switching is much higher.

Dirty data in a new EHR creates billing errors and reporting problems from day one. Ask specifically about this step.
Will the vendor configure your insurance payers, fee schedules, service types, and provider settings as part of onboarding?
A properly configured setup is what makes billing run smoothly from day one. This should not be left to you to figure out.
Can you bring over archived client records (inactive or closed cases) — not just active clients?
Regulatory requirements (typically 7 years) mean your old records matter. Confirm the vendor can migrate historical files, not just active cases.

Is your rate locked in for the full contract term — with a written guarantee against mid-term price increases?
Many EHR vendors reserve the right to raise prices with 30 days' notice. In an inflationary environment, locked pricing is a real financial benefit.

Can you renew at your current rate — grandfathering your pricing even if the vendor raises prices for new customers?
The best time to ask about renewal pricing is before you sign. Confirm this in writing.

Is there a payment deferment period (e.g., 60 days) so you're not paying for two systems simultaneously during the transition?
The overlap cost of switching is one of the most common — and avoidable — financial pain points practices face.

Section 179 can make a significant difference to your effective cost. Ask the vendor to confirm in writing and consult your accountant.

A ticket queue isn’t a relationship. Practices that thrive on EHR platforms have a human advocate inside the vendor.

Can support respond to urgent issues (e.g., telehealth failure, billing outage) within the same business day?
Ask specifically: “What happens if telehealth goes down 15 minutes before a session?” The answer tells you everything about their support culture.

Is there a documented onboarding and training program — not just a knowledge base, but structured sessions with a real person?
Self-serve documentation works for troubleshooting. But initial setup and training require live guidance to be done right.
Can you speak to a current customer — a practice similar to yours — who has been on the platform for at least 12 months?
Any vendor willing to make this introduction is confident in their retention. Vendors who hedge are telling you something.
Watch out: Some EHR vendors make data export intentionally difficult to discourage you from switching. Before you sign any contract, ask explicitly: “If I want to leave, how do I get my data out, in what format, and is there a fee?” Your data is yours. Any answer that isn’t clear and free should be a red flag.
